SAP Data Entry

SAP Data Entry

Supervisors and field workers enter SAP data to compare physical counts against official inventory records.

When to Enter SAP Data

SAP data should be entered:

  • Daily — At end of each audit session
  • After counts — Complete physical counts first, then SAP
  • For all products — Every product needs both count and SAP for completeness

SAP Entry Form

After saving count data, the SAP section appears:

SAP SalesUnits sold today25
NotesOptional context”System showing discrepancy”

  • ✅ Count entry saved
  • ✅ SAP entry saved

Until both are saved:

  • ⚠️ Shows “Needs SAP” in checklist
  • Not included in completion totals

Previous Day Incomplete

The site landing page highlights yesterday’s products missing SAP entries:

Previous Day Incomplete SAP (3 products)
- Product A — Count saved 2024-01-15
- Product B — Count saved 2024-01-15
- Product C — Count saved 2024-01-15

These are shown in orange to prompt completion.

Anomaly Detection

After SAP entry, the system automatically:

  1. Evaluates count vs SAP data
  2. Creates anomalies based on thresholds
  3. Updates badges (OK / WATCH / ALERT)
  4. Notifies managers of ALERT-level issues

Best Practices

  1. Enter SAP same day — Delays reduce accuracy
  2. Verify SAP numbers — Double-check system reports
  3. Add notes for discrepancies — Document unusual situations
  4. Complete all products — Partial SAP entry skews analytics
  5. Review anomalies — Follow up on ALERT badges
